How we position, market, and lease your rental.
How do you determine the recommended rental price?
We evaluate recently leased properties from the local MLS and compare homes that are as similar as possible in location, size, condition, and features. We also consider current competing listings and the cost of vacancy. Our goal is to recommend a price that protects total return—not simply the highest possible asking rent.
When will you begin marketing my property?
Marketing begins when the home is rent-ready and presents well for prospective residents. Showing a property while it is still dirty, under repair, or cluttered can weaken the first impression and extend vacancy. If an occupied home is not show-ready, marketing may begin after move-out and make-ready work are complete.
Do you use professional listing photos?
Yes. Professional photos are an important part of attracting qualified applicants and helping the home compete online. For new properties, we typically arrange a professional photo set that can often be reused during future vacancies when the home’s appearance has not materially changed.
How are rental applications screened?
Every application is evaluated through a consistent, documented process designed to comply with fair housing requirements. Screening generally includes credit, criminal background, rental history, and income or employment verification. Consumer-reporting rules prevent us from sharing an applicant’s credit report with an owner.
What happens if you receive multiple applications?
We apply the same published qualification standards to each application and select the strongest qualified application based on the complete screening results and the property’s leasing requirements. This helps protect consistency, fairness, and the owner’s interests.
Should I allow pets?
Because many Austin-area renters have pets, allowing them can expand the applicant pool and reduce vacancy. Pet limits, deposits, and property-specific restrictions are established before marketing. Assistance animals are handled separately from pets and in accordance with applicable fair housing requirements.

Owner funds & statements
What to expect from monthly accounting and property reserves.
When are owner statements and distributions sent?
Owner statements and available distributions are generally processed on the 10th of each month. If the 10th falls on a weekend or holiday, processing may occur on the following business day. Statements, invoices, and property documents are available through the owner portal.
Why is a maintenance reserve required?
The reserve allows us to address routine property needs promptly without delaying service or creating repeated funding requests. The required amount is stated in your management agreement and must remain funded so we can coordinate repairs, utilities, and make-ready work effectively.
What happens if a repair costs more than the reserve?
We will request an owner contribution when available reserves and incoming rent will not cover the work. Large repairs generally require funds before the vendor can proceed. Keeping the account funded helps prevent delays, additional service calls, and further property damage.
How is prepaid rent handled?
Rent paid before it is due remains in the trust account until the applicable due date. It is not treated as owner income or released early because it remains the resident’s money until earned under the lease.
Do I need to provide a W-9?
Yes. Rental income must be reported as required by the IRS, so a completed W-9 must be on file. Owner distributions may be held until the required tax documentation has been received.

How repair decisions are handled while protecting the home and its residents.
How are maintenance requests approved?
Residents submit requests through their portal, and the assigned property manager coordinates the response. Routine work within the property’s authorization and reserve may be approved to avoid delays or duplicate trip charges. We seek owner approval for larger non-emergency expenses whenever required by the management agreement.
What qualifies as an emergency repair?
An emergency generally involves an immediate health or safety concern or an active condition that is damaging the property—such as fire, flooding, significant water leaks, loss of hot water, or extreme-weather HVAC failure. We act promptly to protect the resident and property, and emergency work may proceed without multiple estimates or home-warranty delays.
Can I complete repairs myself or use my own vendor?
For liability, documentation, and security-deposit purposes, repairs should be completed by qualified professional vendors who provide invoices. AustinVestors maintains a network of vetted vendors, and we can also discuss coordinating with an owner’s preferred qualified contractor when appropriate.
Will you work with my home warranty company?
We can coordinate non-emergency claims when current policy information and payment details are on file. Home warranties are not used for emergencies, and if the warranty company cannot provide timely service, we may recommend an outside vendor to prevent extended inconvenience or additional damage.
Who is responsible for pest control?
Residents are generally responsible for routine household pests after move-in. Owners are generally responsible for conditions that threaten the property or resident safety, including rodents, wood-destroying insects, snakes, or bats. The lease and the cause of the condition ultimately determine responsibility.
What should I expect during a vacancy or make-ready?
Owners should plan for mortgage, utility, cleaning, lawn, pest-control, and repair expenses while a home is vacant. We coordinate the work needed to make the property clean, safe, functional, and competitive before marketing, and may activate utilities or routine services as needed to protect the home.

How do you handle late rent and collections?
We follow the lease and a consistent collection process that begins promptly after rent becomes delinquent. Residents receive notices and follow-up communication, and legal action may begin when payment is not resolved within the required timeline. Any eviction is handled in accordance with the lease and applicable law.
Should I communicate directly with the resident?
All resident communication should flow through the assigned property manager. A single point of contact protects your privacy, keeps instructions documented, and prevents conflicting conversations about maintenance, rent, renewals, or lease enforcement.
When does the lease-renewal process begin?
We generally begin evaluating renewal approximately 90 days before lease expiration. We consider market rent, the resident’s performance, property plans, and the cost of turnover. If you may sell, move into the home, or decline renewal, notify us at least 90 days before the lease ends.
How often is the property inspected?
We document the home’s condition at move-in and move-out. Additional occupied-property inspections can be arranged when appropriate, commonly on an annual basis or when there is a known concern. We balance property oversight with the resident’s right to privacy and peaceful enjoyment.
What happens if a resident needs to end the lease early?
When an early termination is not protected by law or caused by the home becoming uninhabitable, the resident generally remains responsible for applicable rent and reletting costs until a replacement resident begins a new lease. We work to remarket the property promptly and limit vacancy.
How are HOA notices handled?
Owners should add AustinVestors as an HOA contact and promptly forward every warning or violation notice. Fast notice allows us to address resident-caused issues before fines increase. Owners remain responsible for HOA dues, while resident-caused fines may be charged to the resident when properly documented under the lease.
What insurance is required?
A rental property should carry an appropriate landlord policy rather than a standard owner-occupied policy. AustinVestors must be listed as required by the management agreement, and current proof of coverage should be provided promptly whenever a policy begins or renews.
How are security deposits and deductions handled?
Security deposits are held in a trust account and processed within the timeframe required by Texas law. Lawful deductions may include documented damage beyond normal wear, necessary cleaning, and unpaid lease charges. Normal wear and tear is not deductible, and the age and useful life of items such as paint or flooring are considered.
